Set up your team: quick start

Set up your team once, in the right order, and everyone gets the access they need. This page is the short version. Each step links to a detailed guide.

The 5 steps at a glance

  1. Decide on branches. If you run several offices and want data separated by branch, switch on Branch-level data segmentation in Settings. Single office? Skip this.
  2. Create your branches (only if you turned branch mode on): Team → Branches → Create.
  3. Create roles for your office jobs, such as Receptionist or Sales Manager: Team → Roles → Create.
  4. Add office staff and give each person a role: Team → Admin Users → Create.
  5. Add field agents: Team → Agents → Create. Share the login, and they sign in to the mobile app.

Tip. Follow the steps in order. Roles and staff can point to branches only if the branches already exist.

Roles versus agents

This is the most common point of confusion. RealtoCRM has two kinds of people, and they are set up differently.

Office staffAgents
Who they areOffice team: receptionist, sales manager, office manager, accountantField team who handle leads and site visits
Where they workThe web platformThe RealtoCRM mobile app
Where you create themTeam → Admin UsersTeam → Agents
How access is decidedA role you choose for each personAgents do not get roles
How they sign inWith their account on the web platformWith the email and password you share, in the mobile app

Note. Roles are for office staff only. You never assign a role to an agent.

What is data scope?

A permission says what someone can do, for example view leads. Data scope says whose records it applies to. Some permissions let you choose one of these:

ScopeThe person can accessGood for
Their ownRecords belonging to themRoles that should only see their own leads and tasks
Their branch'sRecords of their branch (needs branch mode)Branch officers and branch managers
Everyone'sRecords across the organizationOffice staff who coordinate for the whole company

Note. Permissions and data scope work together. A person needs the action permission, and the scope decides which records it applies to.

Where to next

Start with Enable branches if you run several offices. Otherwise go straight to Create roles.
